Following the introduction of the EU regulation 'General Data Protection Regulation' ('GDPR'), which is enforceable effective 25th May 2018, you may wish to restrict visibility of some personal data for contacts held in your CRM - for example contact telephone numbers, email addresses etc. (Fig.1) unless an individual user is allocated as the 'Managed by' for the record. In order to do so, 'Admin'/'Super User' authority level users can set contact fields to be obfuscated for all users if they are not the allocated 'Managed By' CRM user (Fig.2). Please note - 'Admin' level users will be able to see/amend all data, whether or not a 'Contact' field is restricted.

To restrict visibility of 'Contact' fields, go to the 'Settings'/'CRM Options'/'Contact Field Settings' page in your CRM (Fig.3/Fig.4/Fig.5).

For all contact fields you wish to restrict visibility of, tick the corresponding 'Restricted' checkbox/checkboxes, and left click 'Save' (Fig.6). When any CRM user who is the allocated 'Managed By' for the contact views the record, or is an 'Admin', that user will see the data held for the corresponding data fields that you have restricted as usual (Fig.1), whereas any other users will not (Fig.2).

Please Note - even if your CRM settings allows users to update companies/contacts where they are not the designated 'Managed By', if you choose to restrict visibility of specific 'Contact' fields, only the designated 'Managed By', or 'Admin' level users, will be able to update those specific fields.
